What the renewal involves
$70 per unit, due by March 31
The fee scales with the City's recorded unit count for the property. A single-family rental is $70; a six-unit building is $420. Filing goes through the City's Citizen Access Portal.
HVAC certification at 4+ units
Buildings with 4 or more units also submit an annual HVAC certification from a licensed contractor with the renewal. Scheduling the contractor is the part that eats the calendar; January is the time to book it.
Lead Safe runs on its own clock
Pre-1978 buildings need a current Lead Safe Certification, renewed every two years from the original certification date, not the registration calendar. Renewal season is a good moment to check where that clock stands.
Local Agent in Charge, if you're remote
Owners living outside Cuyahoga County or a neighboring one need a local agent on file. If yours moved or changed, the renewal is when to fix the record.
What a missed deadline costs
After March 31, an unrenewed registration shows as lapsed in the City's public records. The City can withhold the property's Certificate Approving Rental Occupancy, and enforcement arrives as civil tickets: $200 each, reissued as often as daily until you register, with a $50 late charge per unpaid ticket and unpaid balances assessed against the property's taxes. The registration fee itself is still owed on top of every ticket. And because lenders and title companies check these records, a lapse discovered mid-refinance is the expensive way to find out.
